Reservation and Cancellation Information

Payment Procedures

A deposit for the amount of 50% of the total cost of housing plus a $50 non-refundable administrative fee is required with all applications. This payment will be credited towards the final bill. Please note that only VISA and MasterCard credit cards are accepted.

Full payment is due by the Friday prior to the scheduled date of arrival.

Please note: A Summer resident may only be checked-in when the housing balance has been paid in full. Failure to make timely payments will result in forfeiture of the space. 

Roommate Requests

Summer residents who wish to be assigned with another specified Summer resident(s) should note this on the online summer housing application. Each resident requesting a roommate must submit an application. Roommate requests are not guaranteed, and are subject to space availability. GW Housing Programs cannot hold space without all applications completed. Requests must be mutual (i.e. both interested parties must indicate on their applications that they are requesting a specific roommate).

Residents will be prompted to request roommates upon returning to the summer housing application after paying their initial deposit.  They will need to provide their requested roommates’ participant number and the email address they provided to GW.  The participant number can be found in a participant’s confirmation email, sent immediately after registering and paying the deposit.

Room Change Requests

Room changes are not permitted throughout the Summer months.  

Room Assignments

Space must be occupied by the Summer resident to whom it is assigned and may not be sublet to any other person. Summer residents assigned to single occupancy rooms will not have roommates. Room assignments are only valid for those who have a completed electronic application on file with GW Housing Programs. Cohabitation is not permitted. All buildings are single-sex by room. Housing is not provided to families or couples.  


DUE TO OUR DESIRE TO MAKE HOUSING AVAILABLE TO AS MANY RESIDENTS AS POSSIBLE, WE WILL NOT ALLOW ONE SUMMER RESIDENT TO OCCUPY A MULTIPLE OCCUPANCY APARTMENT, EVEN IF THE SUMMER RESIDENT REQUESTS TO PAY FOR THE ENTIRE APARTMENT.
 

Cancellations

Cancellations of reservations must be submitted in writing to GW Housing Programs by completing a Summer & Conference Housing Cancellation Form. In the event that the Summer resident cancels 15 days or more prior to the scheduled date of arrival, the Summer resident will be refunded the 50% deposit minus a $400.00 cancellation fee. In the event that the Summer resident cancels less than 15 days prior to the scheduled date of arrival, the Summer resident will forfeit the 50% deposit. Administrative fees are non-refundable. If a Summer resident does not check in by noon on the Saturday of the first week of scheduled arrival, the reservation will be cancelled and any previous payments will be forfeited. If the Summer resident changes the date of arrival, and subsequently cancels the reservation, the Summer resident is still bound by the cancellation policy with their original scheduled date of arrival. Failure to notify GW Housing Programs in writing of cancellation shall result in forfeiture of any previous payments.
